Special Requirements of the Ministry Leader: Special
ability to connect with persons who are grieving the loss of a loved one.
Ability to support them with calls and visits and to solicit appropriate help
for them from others. Ability to spend time with these individuals as needed.
Functions of the Ministry:
- Prepare and obtain approval for an annual budget.
Monitor the budget and adjust or get additional funds approved if needed
- Report as needed to keep the congregation informed,
maintaining confidentiality.
- Consider all requests directed to the ministry,
approve or disapprove as appropriate and confer with Elder(s) when needed .
- Immediately upon being notified of the loss by a
member of a loved one, call or visit the member and offer condolences and
support.
- Develop a “calling tree” or other method of notifying
the congregation of special needs or prayer requests that the grieving
family has. Use the church website for this if possible.
- Help the member or family make decisions about funeral
arrangements, burial, transportation, and other logistical needs if needed
- Help the member or family plan family meals or housing
for out-of-town family members if needed.
- Notify the leader of the ladies food committee of
needs for food
- Notify the leader of the ladies flower committee of
flower needs
- Determine special needs during the first few days
after the death and strive to meet them. This may be this may be
babysitting, transportation, outside chores, cleaning, etc. Call
appropriate members of the congregation who can help with these needs.
- Notify members of the congregation who have a special
connection or talent to connect with the family and ask them to be of
special help during the grieving process.
- Follow-up with the grieving family on a regular basis
for at least 6 months or until there is no longer a need. Continue to offer
help and comfort during this time.
- Frequent coordination is required with the elders and
minister and the bereavement ministry leader

Functions of the Ministry:
- Continually monitor our region for opportunities to
plant new churches where there are none or to plan and implement programs to
renew and revitalize existing declining churches.
- Assist struggling churches within our region by
providing preachers, teachers, song leaders, prayer leaders, or other help.
- Be the contact person in our congregation for any
support needed by other congregations such as preachers, teachers, song
leaders. Let other congregations know that we are blessed with an abundance
of talent and are willing to share and help.
- Work with other churches in the area to determine
support for any planned work with either planting new or renewing existing
churches.
- Gain support within our congregation for planned
efforts to evangelize an area. Be a cheerleader for the effort---recruit
and energize teams as needed. Involve our members as much as possible in
this ministry.

- Make recommendations on those requests to the
appropriate elder or act as appropriate
- Follow up with the requesting group to get recognition
for the church as appropriate
- Arrange for appropriate speakers to go to the
organization as needed
- Make recommendations to the Property Control ministry
leader and Facilities ministry leader about which organizations will be
permitted to use the buildings/facilities.

Functions of the Ministry:

- Plan and schedule routine and special events for the
congregation to get together and enjoy fellowship.
- Recognize new members/families and departing (moving
away) members/families at each monthly fellowship event
- Publish a schedule of routine events annually
and update it as needed. Fellowship potlucks should be monthly and
regularly scheduled to let members plan ahead. Other special events are
to be announced.
- Each Fifth Sunday, a fellowship is to be held at the
Junior High Cafeteria. Coordinate this with the school and coordinate the
transfer of supplies and utensils to the cafeteria. Publish this event with
details through bulletin boards, announcements, and bulletin well in advance
to allow planning. Consider whether this event will replace the regular
monthly fellowship and announce as appropriate.
- Publish and announce special events well in advance to
let members place them on their schedules and make alternate plans if
needed. Work with the Congregational Information ministry leader to have
timely schedules in the bulletin
- Coordinate fellowship activities. Involve the ladies
in this planning and coordinating. Make announcements as early as possible
and get them into the bulletin to avoid surprises.
- Consider that many families plan for trips on a few
weeks notice. That means that our fellowship events need to be publicized
to the congregation as far in advance as possible.
- Rotate the responsibilities for the events when
possible. Involve as many members as possible. Make a special effort to
involve and invite new members.

Functions of the Ministry:

- Consider all requests directed to the ministry,

- Keep the directory updated as rapidly as possible
after a change occurs in membership.
- Annually review whether the existing directory can be
efficiently maintained or if an entirely new one should be prepared.
- Contact members when a change in status is known or
suspected and find out if the change warrants a new page being printed for
dissemination.
- Copy new pages for the directory as soon as possible
and make them available to the congregation as soon as practical.
- Immediately or as soon as possible, photograph new
members and get appropriate information to make a new page for the
directory.
- Keep the Member Photo board in the north foyer updated
with appropriate photos of all members, adding new ones and deleting
obsolete ones as rapidly as possible and appropriate
- Frequent coordination is required with the information
systems ministry leader and with the new members ministry leader.

Special Requirements of the Ministry Leader: Have
administrative and management skills to make business decisions about relief
efforts and have appropriate compassion for the needs of disaster victims. Have
time to visit or delegate the responsibility to visit disaster areas and
determine the needs that exist, then find the best ways to meet those needs. Be
able to manage inventories of goods for relief efforts.
Functions of the Ministry:
- Prepare and obtain approval for an annual budget.
Monitor the budget and adjust or get additional funds approved if needed
- Report as needed to keep the congregation informed
- Consider all requests directed to the ministry,
approve or disapprove as appropriate and confer with Elder(s) when needed
- Work with other disaster relief agencies to help
provide immediate services and goods to stricken areas and families.
- Maintain a list of agencies which can assist in relief
efforts, along with the services or goods they can provide.
- Inventory, when possible, food and household supplies
which can be immediately transported to disaster areas.
- Coordinate the delivery of supplies and food to
stricken areas as fast as possible when the need is known.
- Advise the congregation of the system being used to
provide disaster relief. Solicit donations of goods and food to store for
this effort.
- Maintain a list of people who are willing to help in
disaster relief efforts and coordinate with them when a need exists.

Reports to: Education/Youth Elder
Special Requirements of the Ministry Leader: Thorough
knowledge of training and education programs. Sound in the faith so as to be
able to sift and screen education materials for non-Biblical doctrines. High
availability before services and at the beginning of classes to monitor teacher
punctuality and attendance as well as to fill in or find a substitute in the
event of a teacher’s absence. Human resource skills to allow high level of
interaction with teachers on matters of discipline, training methods, and
students.
Functions of the Ministry:
- Prepare and obtain approval for an annual budget.
Monitor the budget and adjust or get additional funds approved if needed
- Report as needed to keep the congregation informed
- Consider all requests directed to the ministry,
approve or disapprove as appropriate and confer with Elder(s) when needed
- Determine quarterly, in advance of the start of the
quarter, what the needs of the congregation are for the following quarter
in the way of facilities and teachers. Consider new members and departing
members as well as advancements in grade levels.
- Recruit and assign teachers and assistant teachers
ahead of the start of the quarter so that there is a seamless transition
from one quarter to the next.
- Assign assistant teachers who will be notified in
advance of the primary teacher’s absence so that no class meets without an
approved teacher present.
- Keep a current list of teachers, assistants, classes
and classrooms posted on a bulletin board
- Match class sizes to classroom availability. Consider
facilities appropriate for each class size and age and special needs. Moving
to a different room may require moving furniture and teaching aids.
- Coordinate with facilities ministry leader to assign
appropriate classes to appropriate rooms and facilities.
- Plan quarterly what educational materials will be
needed for the following quarter and order or prepare as appropriate to
insure timely delivery.
- Monitor all classes on a random but frequent basis to
determine if the teacher comes prepared to teach, if the teacher is teaching
Biblical material and principles, if the class is orderly and conducting
itself properly, and if the class is taking appropriate care of the
facilities.
- Screen teachers for sound doctrine and teaching
methods prior to assignment as a teacher. Use the education elder as needed
in these decisions.
- Teachers should have a guide as to conduct,
punctuality, efficient use of time and materials, and use of the facility.
Classrooms should be left tidy, lights out, windows closed, etc.
- Conduct or arrange for participation at teacher
training seminars bi-annually or as needed to keep teachers current on
techniques and materials available.
- Conduct recognition events for teachers to show
appreciation for their efforts.
- Coordinate with the facilities ministry leader to get
repairs made to classrooms or to make needed changes or improvements.
- Manage the library. Sort annually and eliminate
unneeded books and materials. Stock with materials as needed.
- Investigate ways of getting members to read and study
more. Help members find reading and study materials they need or desire.

Special Requirements of the Ministry Leader: An Encourager,
A Positive Personality, Probably should be one whose wife is involved in the
ladies’ ministry of encouragement.
Functions of the Ministry:
- Using a selected group of members, both men and
ladies, watch for others who are “down” for any reason.
- Find a suitable way or ways to encourage the person or
persons. This can be card showers, scheduled phone calls at pre-determined
intervals, visits by individuals or groups, or any other method including
public mention.
- Working with the secretary or others, determine
members who may have a pattern of declining attendance at worship and send
them encouragement or arrange to have them called and visited.
- Continue the encouragement as long as needed.
- Using selected members in a team approach, watch for
those who continually and habitually help with and/or perform the Lord’s
work in an unselfish manner. Find a meaningful, suitable, non-boisterous
method to recognize that person or persons to the congregation.
- This recognition can be scheduled or random, but it is
intended to reward the real servants of the Lord who may otherwise go
unnoticed. Afford the person(s) recognized the opportunity to be humble
while being honored.

Facilities -- Buildings and
Grounds
Deacon/Ministry Leader in Charge of the Area:

Special Requirements of the Ministry Leader: knowledge of
building and utility systems and property management. Ability to work well with
vendors. Ability to schedule and monitor preventive maintenance. Knowledge of
insurance processes.
Functions of the Ministry:
- Prepare and obtain approval for an annual budget.
Monitor the budget and adjust or get additional funds approved if needed
- Report as needed to keep the congregation informed
- Consider all requests directed to the ministry,
approve or disapprove as appropriate and confer with Elder(s) when needed
- Receive complaints from members about
facilities/utilities which are not functioning properly and act on those
complaints promptly.
- Quarterly arrange a walk-through inspection of the
facilities for general condition and repair. Check lighting for proper
operation. Check exterior doors for proper condition and security. Inspect
interior walls and ceilings and floors for needs such as painting or other
repairs. List needs and make work orders or solicit members to accomplish
the work.
- Monthly inspect the classrooms for condition. Walls
and floors especially need to be monitored in these rooms. Also inspect
folding chairs for safety and condition.
- Semi-annually inspect interior systems for proper
condition. Make lists of needs and write work orders to make corrections.
Solicit members to accomplish the work when appropriate.
- Annually inspect all exterior components and make
arrangements to make any repairs needed.
- Keep logs of HVAC units – install date, service
intervals, filter changes, testing needed, inspection intervals, etc.
- Establish a sound preventive maintenance program for
each facility and room plus major items such as furnaces and air
conditioners, roofs, gutter cleaning, tree trimming, trim painting, asphalt
sealing, etc.
- Annually, analyze lawn maintenance and establish a
contract with a reliable party to keep the lawn mowed and trimmed as
needed. Evaluate seeding needs annually. Give special thought to making it
look it’s best on Sunday. Should include sweeping sidewalks and driveways
after mowing.
- Annually review snow removal plan. Since the
facilities deacon may not be available when snow starts to fall, there
should be at least three men working as a team to determine when to begin
snow removal efforts. These should meet in October of each year and discuss
the plans for the coming winter. Get the snow blower ready and tested.
Locate a contractor who will come out on Saturday night. Find members who
will shovel or bring their units in to blade the parking lot and driveway.
Planning will really aid this effort.
- Work with the insurance ministry leader to determine
if coverage is adequate and efficient. These two should meet at least
annually.
- Arrange for members to do as much maintenance and
repair as possible. This not only saves costs, but it gives members
“ownership” in the facility. When a task to be done is known, ask if anyone
wants to do it. More than likely, there is someone who would love to do it
and would feel good about it.
- Develop a five year maintenance plan to help with the
budgeting process. This evens out expenses over time. Things like roof
replacements, parking lot sealing and striping, gutter replacement, carpet
replacement, exterior painting, etc. can all be staggered to level the
budget, or can be accelerated when there is excess money in a given year.
- Work with the education ministry team leader to
determine if additional classrooms are needed. When classrooms are going to
be needed, use a team approach to finding the best way of providing the
space. Building additions are expensive and require long lead times.
Planning in advance can help avoid crunches. Consider modular offices or
house conversions for interim needs.
- Work with the information systems ministry leader to
determine facility needs with regard to new computer systems networking or
projection.
- Quarterly monitor utility use. Graph the use and
monitor trends which can show failing HVAC or insulation parts.
- Seasonally, open and close the foundation vents in all
buildings for ventilation and freeze-proofing.
- Monitor insects and have the facilities treated as
appropriate. Have a reputable termite inspection performed annually.
- Work with education ministry leader to encourage
teachers to leave windows closed or at least close them when class is over.
Also, have them turn out lights when leaving the classrooms.
- Annually inspect all folding tables and chairs. These
can get damaged or worn and cause safety concerns. Repair or replace as
needed.
- Annually test the emergency lights and replace lights
or batteries as needed.
- Manage the janitorial services of the buildings. Make
a detailed list of cleaning and servicing to be done by janitorial
personnel. Monitor the completion of the activities randomly and make
corrections to the list or completed services as required. Annually, obtain
enough information to analyze the services being completed and determine
whether or not to bid out the service for the coming year.
- Manage the purchase of janitorial supplies for
efficiency.

Special Requirements of the Ministry Leader: Special
training and ability to connect with married couples (and soon to be married)
and help them look to the Lord and to others for help. Ability to lead
discussions and devotionals and training sessions for that will benefit
couples. Ability to spend time with the group and with individuals as needed.
Training in marriage enhancement and the ability to facilitate discussions in
group sessions.
Functions of the Ministry:
- Prepare and obtain approval for an annual budget.
Monitor the budget and adjust or get additional funds approved if needed
- Report as needed to keep the congregation informed
while maintaining appropriate confidentiality.
- Consider all requests directed to the ministry,
approve or disapprove as appropriate and confer with Elder(s) when needed
- Plan, advertise, and conduct marriage enhancement
seminars and other events. This includes, but is not limited to, His
Needs, Her Needs
- If needed, form a marriage support group. Help this
group with meeting management and discussions. Help the group plan
activities which will be enjoyable and beneficial to the cause of the
group. Help the group with training seminars for their benefit. If there
is a support group, ensure that meetings are properly facilitated to avoid
blaming, whining, and gossip.
- Offer help in obtaining marriage counseling to all
couples planning to wed.
- Provide emotional and spiritual support to couples who
need or request it.

- Report as needed to keep the congregation informed
- Consider all requests directed to the ministry,
approve or disapprove as appropriate and confer with Elder(s) when needed
- Annually, combine the budget requests from all
ministries and present the combined request to the elders and deacons for
approval.
- Monthly publish the budget results showing income
versus expenses. Show each ministry leader how the budget compares to
spending.
- Quarterly, graph the income versus expenses to show
trends and review with the administration elder and other deacons.
- Work with the administration elder and the minister to
prepare the annual compensation plan for the minister to include salary,
insurance, retirement, and other allowances.
- Make arrangements to get the minister paid promptly
and with appropriate confidentiality. Consider direct deposit.
- Count the offering each week and post the results as
soon as practical.
- Deposit the offering each week and perform accounting
needed to monitor the budget.
- Coordinate with the information systems ministry
leader to get the weekly offering amount published in the bulletin.
- Receive invoices from ministry leaders and by mail.
Review for proper spending and pay as needed. Perform accounting as needed
to the budget spreadsheet.
- Review insurance, social security and retirement plans
for the minister quarterly to verify proper amounts and accounting functions
are performed and paid.
- Prepare 1099 and/or W2 in a timely manner.

Functions of the Ministry:
- Plan for future growth in capital and other areas.
Includes facilities, equipment, assets, and vehicles.
- Form a team of interested members to develop a 5, 10,
and a 15 year plan for facilities, office equipment, and furniture. Work
with the transportation team to form a 1, 2, and 5 year plan for vehicle
procurement and disposal. The team will make recommendations to the
deacons/elders at least annually.
- Report as needed to keep the congregation informed.
- Determine the commitment of the congregation to
support capital improvements. Make recommendations to the budget team each
year regarding capital spending.
- Develop programs to accrue funds for specific
projects.
- Coordinate the management of all accrued funds
- Consider all requests directed to the ministry,

- Form teams as needed and directed by the
administration elder(s) for short-term planning on utilization of assets

promptly on that request using the information available at the time
considering previous contacts with the person, the person’s attitude toward
the church and the Lord, the person’s efforts to help him/herself, and what
other sources of help the person should be exploring.
- Call on others, including elders, other deacons, the
minister, other congregational members to assist or accompany on visits
where needs are known or suspected or requests have been made.
- Call on others to help with physical chores that a
needy person or family may need.
- Arrange work days or nights or group activities to
help elderly, shut-in, or poor with special needs such as yard work, house
repair, auto repair.
- Maintain a food pantry stocked with an appropriate
amount of food to be able to help local families who are in need. Advise
the congregation of food needs for the pantry.
- Arrange for delivery of food and other goods from the
pantry to needy families.
- Work with the ladies in charge of food or flowers for
funerals or sick families. Assist as needed and help make decisions about
services that are requested or when in doubt about whether or not to provide
services. Work with the ladies to establish a procedure for food and
flowers and to establish amount guidelines for flowers. Update this
procedure bi-annually.
- Coordinate with the transportation ministry leader to
help as needed when a family needs transportation that cannot be provided
otherwise.
- Work with bereaved families to determine any needs
that the church can meet for them such as food, transportation, babysitting,
etc. during the funeral and days preceding it.
- Work with shut-ins to determine routine needs they may
have that the church can help with such as trips to the doctor, store, or
church.
- Conduct annual clothing drive to collect and give away
winter or other clothing. Coordinate collection, sorting, storing, and
helping with the give away. Promote the give away activities and combine
with appropriate evangelistic works such as pamphlet distribution.

Should the congregation acquire storage space for clothing and maintain a
supply to help needy individuals or families.

member is a new convert, they need to be added to a new convert’s class. If
not new, then determine if there are other needs for training, and introduce
the member to the education ministry leader for assignment to the proper
class.
- Get a photo made of the person or family and get it on
the member’s board with something to show that this is NEW! Get the photo
and information to the directory ministry leader and the Information Systems
minister.
- Assign a mentor or mentoring family immediately and
get the new member started on the process of meeting every other member and
being drawn into the fold securely and firmly. The job of the mentoring
family is to make the new member feel at home and comfortable in the
congregation as soon as possible. This requires breaking down barriers
wherever they are encountered. Identify any problems the member has and
assist in overcoming that problem. Do not allow the new member to feel
that he/she/they are not welcome or comfortable here.
- Build a spreadsheet with new members on it. Monitor
the progress of the new member in getting acquainted, in finding new
friends, in getting involved in the services and other programs. Milestones
for this spreadsheet could include: dinner/lunch with the mentoring family,
attendance in class, attendance Wednesday evening, completion of new
convert’s class, class participation, becoming a part of a ministry, helping
with a ministry, getting acquainted with all deacons, all elders, and
perhaps knowing the names of ½ of the congregation.

maintain an adequate inventory/stock of those items.
- Survey the users of office supplies and materials to
determine if the type and quantity are adequate, or what new items need to
be added.
- Keep the office areas neatly arranged and accessible.
Mark boxes or unopened containers as to contents to prevent pilfering them
while looking for something else. Insist that users of the office put
things away when they are finished with them, and that each user help clean
up the area.
- Keep mail slots for appropriate personnel marked.
Monitor them and if any are not needed, convert them to a better use.
- Maintain charge accounts at appropriate locations to
purchase supplies. Monitor the purchases and purchasers to prevent
duplicate purchases. From a stewardship view, the purchases should be made
from the most economical location. For convenience, they may need to be
places that are open long hours. Try to avoid places that sell alcoholic
beverages, or at least those who advertise and display it prominently.
- Monitor the use of office machines, especially the
copier. Prevent unauthorized use and minimize use by insisting that only
necessary copies be made. Train operators on the proper use of the copier
and post simple instructions in a conspicuous place.
- Monitor the condition and age of the copy machine to
keep it in good working order and prevent unreasonable repairs from being
made to obsolete equipment. Make recommendations annually on replacement of
the copier. Work with vendors to get the maximum utilization of equipment
for the money spent. Keep a copy of the current copier contract available
with details and numbers to call.
- Maintain an adequate inventory of copy paper and toner
and post instructions for loading the machine.
